SAFETY REFLECTIVE JACKET – USE, MAINTENANCE & BRAND REPRESENTATION POLICY

1. Purpose

The purpose of this policy is to ensure the proper use, care, maintenance, and responsible handling of safety reflective jackets issued by CLIDE Management Consultancy Pvt. Ltd. to employees deployed at project sites. The jacket is provided to enhance employee visibility and safety while also maintaining a professional and uniform appearance at the workplace.

2. Issue of Safety Reflective Jackets

  • Each employee deployed at the project site will be provided with safety reflective jackets twice a year, with the issue cycle being counted from the date of issue.

  • The jacket issued to an employee is intended for their regular use during project/site activities wherever required.

  • Employees are responsible for keeping the jacket in good, clean, and usable condition throughout the issue period.

  • Replacement of a jacket before the normal issue cycle may be considered in case of genuine damage due to regular work, subject to verification and approval by the authorised person.

3. Mandatory Use

  • Employees shall wear the safety reflective jacket whenever required by the project/site safety rules, particularly while working or moving within designated operational areas.

  • The jacket should be properly worn and zipped/fastened wherever applicable.

  • Employees shall not intentionally modify, alter, cut, remove, cover, or damage the reflective strips, company logo, identification details, or any other part of the jacket.

  • The jacket should not be used for activities or purposes that may result in unnecessary damage or loss.

4. Maintenance and Care

Employees are responsible for maintaining the jacket in a clean and presentable condition.

The following instructions shall be followed:

  • Keep the jacket clean and free from excessive dust, oil, grease, chemicals, paint, or other contaminants.

  • Wash the jacket as per the manufacturer's recommended instructions.

  • Do not use methods that may damage the reflective material or company logo.

  • Do not write, print, stitch, paste stickers, or attach any unauthorised material to the jacket.

  • Do not make unauthorised alterations to the size, design, colour, reflective strips, or logo.

  • Store the jacket properly when not in use and avoid keeping it in conditions that may cause unnecessary deterioration.

  • Immediately report any significant damage, loss, or deterioration to the reporting manager/site coordinator.

5. Company Brand Representation

The safety reflective jacket carries the CLIDE company logo and therefore represents the identity, professionalism, and reputation of CLIDE Management Consultancy Pvt. Ltd. Employees wearing the jacket are expected to maintain a professional appearance and conduct themselves responsibly while representing the company at the project site or any other location. The company logo must be kept clearly visible, clean, and undamaged. Employees shall not use the jacket in any manner that may bring the company's name, image, or reputation into question. The jacket is a company-provided item and should be treated with the same care and responsibility as other company assets.

6. Prohibited Practices

Employees shall not:

  • Remove, cover, damage, or deliberately alter the CLIDE logo.

  • Use the jacket after making unauthorised modifications.

  • Allow another person to use the jacket without permission.

  • Use the jacket for personal activities that may damage or unnecessarily soil it.

  • Display or use the jacket in any inappropriate or unprofessional manner.

  • Attach unauthorised logos, badges, stickers, names, slogans, or other markings.

  • Intentionally damage, misuse, or discard the jacket.

7. Loss or Damage

In case of loss or damage, the employee shall immediately inform their reporting manager or authorised CLIDE representative and provide the reason for the same.

Where damage occurs through normal wear and tear or genuine work-related circumstances, the matter may be reviewed sympathetically and replacement may be considered as appropriate.

Where loss or damage is found to have resulted from negligence, misuse, intentional damage, or unauthorised modification, the company may take appropriate corrective action in accordance with its internal policies.

8. Non-Compliance / Violation

Any violation of this policy, including failure to maintain the jacket, misuse of the jacket, unauthorised modification, damage to the reflective material, or improper use/display of the CLIDE company logo, may be treated as a violation of company instructions.

Depending on the nature and frequency of the violation, the company may take appropriate corrective measures, which may include:

  1. Verbal counselling/instruction for the first instance.

  2. Written warning for repeated or serious non-compliance.

  3. Recovery/replacement of the jacket in cases of negligence, misuse, or intentional damage, where applicable and permitted under company policy.

  4. Further disciplinary action in case of repeated or serious violations, as per applicable company rules.

9. Employee Responsibility

Every employee receiving a safety reflective jacket is responsible for its proper use, care, maintenance, and safekeeping. Employees are expected to cooperate with the company in maintaining safety standards as well as the professional image of CLIDE at all project locations.
